Getting ready for enrolment Before you arrive for your enrolment, there are some important things you need to do. This will help us make your enrolment day as smooth as possible.

• Accommodation and livery

If you’ve been allocated a place in accommodation or livery, you’ve already paid your deposit and set up your payment plan. You’ll receive your payment schedule after you enrol. See pages 9, 13, and 14 for details about moving in and bringing your horse. If you live locally and would like to use our Home-to-College bus service, you can book and choose a payment option now. You can apply for transport up to 24 August 2024. Step 2: Make your payments There are some fees to pay before you start, including the educational visits fee for all students. • Educational visits fee (£75)

Field trips, visits, and external speakers are an important part of your student experience. This fee contributes to the cost of speakers, transport for off-site visits, and entry to shows, events, museums, competitions, and many other attractions. Step 3: Buy your kit You may need to buy some kit and/or equipment to keep you safe as you complete the practical elements of your course. Turn to page 15 for details. Step 4: Tell us your exam results For UK students, GCSE results day is 22 August 2024 We wish you good luck. All your hard work this year will be worth it. If you have a conditional offer, you’ll need to let us know your results as soon as you get them. We’ll send you more information about how to do this nearer the time. www.hartpury.ac.uk International students Please submit your grades and qualification as soon as you get them via this form. www.hartpury.ac.uk/qualification collection-form What we do with your results If you’ve achieved the grades that you need to meet your offer, it will be made unconditional and we’ll send you confirmation by email. If you haven’t achieved the results you need to meet your offer, try not to worry. We’ll review your application and may still be able to offer you a place on the course, or an alternative, subject to availability. The course tutor may wish to call you to discuss your options – so please make sure you have your phone with you. Once we’ve made a decision, we’ll send you confirmation by email. If you’ve achieved better grades than expected and wish to be considered for a higher level course, please contact our Admissions team. Your application will be reviewed to consider whether this is possible. - Email admissions@hartpury.ac.uk - Call 01452 702244 Confirmation of your results We’ll receive confirmation of results from the awarding bodies shortly after enrolment. If you submit fraudulent results you’ll be withdrawn from your programme.

International students

If you’re an international student with a Student visa, we’ll need to see your passport and your Biometric Residence Permit (BRP) or Share Code if you have an eVisa at enrolment. If you requested for your BRP card be sent to Hartpury, it will be waiting for you to collect at enrolment. A copy of these documents will be taken and held with our International Manager as part of UK Visa and Immigration compliance. Visa support If you haven’t already started your visa application, it’s important you do this as soon as possible. Your payments and documents

Making your payments Check page 5 for full payment details, including which ones apply to you. Educational visits fee – for all students Additional fees If you’ve applied for any of the following, tick off your payments as you make them. Use our handy checklist to tick off your payments as you make them and ensure you’ve prepared the important documents you need to bring to enrolment. Preparing your documents You’ll need to bring your completed forms to enrolment, as well as your proof of ID. Forms Hartpury College regulations acceptance form – this includes your student code of conduct and safeguarding information. Trip consent form – permission to attend course trips. Transcript of results – GCSE or equivalent. Work experience consent form – permission to take part in a work placement. If you’re undertaking a residential work placement, we’ve also included a checklist for your parent/carer to review when assessing the accommodation. Proof of ID Passport or driving licence – if you don’t have these, you can bring your birth certificate. Transport Sports Academy Gym membership

If you’ve had centre-delegated arrangements (e.g. a separate, smaller room, laptop) please ask your school for written proof of this. Please note, if we don’t have a copy of your Form 8, we won’t be able to highlight your exam needs as a priority and this may delay your application for any exam arrangements at Hartpury. On this page, you’ll find everything you need to know about your enrolment. For the date and time for your course, turn to pages 11-12. If there’s anything else you’d like to know, please get in touch with us using the contact details on the back page. Where to go Your enrolment will take place in the College Library, within the College Learning Centre (CLC). When you arrive, follow signs from the car park. What to do We’ll guide you through the process and make sure you’re ready to start your college life. You’ll meet our Admissions, Finance, Transport, IT, Maths and English, and Aspire learning support teams, as well as your If you’ve been allocated accommodation, you’ll move in on Sunday 1 September 2024 . See pages 13-14 for everything you need to know, including your move-in time slot and details of your student and parent briefing sessions. Traveling to your enrolment You’ll need to make your own way to your enrolment. If you’ve booked your transport via Zeelo by the deadline (24 August 2024), you’ll be able to get the bus home. Everything you need to access your transport will be available on the Zeelo app. You’ll get a QR code on your phone that the driver will scan when you board the bus. Our buses will start running on the afternoon of Monday 2 September and to timetable from then onwards. Information for parents of non-residential students If your child isn’t moving into accommodation, you’ll be at enrolment for approximately 1.5 hours. Your child will then start their induction programme – you’re free to leave at this point or wait on campus until the end of the enrolment day to take them home, if Students’ Union and course tutors. Moving into accommodation

If you’re a non-residential student under the age of 18 living in the UK, your parent/carer will need to accompany you at your enrolment. For residential students, your parent/carer will have attended Residential Move-in Day, so they won’t be required at your enrolment. International students You’ll take part in all of the same enrolment activities as your course – check the table on pages 11-12 to find your date and time. You’ll be invited to join your International Orientation programme on 13 and 14 September 2024 . This will help you to settle into life in the UK and at Hartpury, make friends, and start to feel at home. Livery Residential students: You’ll bring your horse on Residential Move-in Day. See page 13 for details. Non-residential students: You’ll move your horse in on your enrolment day. Please arrive earlier than your enrolment time slot (see pages 11-12) to make sure you have plenty of time to settle them in before enrolling. After you’ve enrolled Once you’ve completed your enrolment, you’ll start your course and be in college for the rest of the day. You’ll meet your classmates and get your timetable, before starting your first lessons. You’ll then be in college for the rest of the week. If there’s a study day during this week, your tutor will let you know.

Getting to college

If you live near Hartpury and are able to go home each day, we offer a Home-to-College bus service that operates across Gloucestershire, Herefordshire, Worcestershire, Warwickshire, and Wiltshire. If you want to travel on our buses, it’s important that you apply via Zeelo, choose your ticket option (refunded if you don’t receive the results for your course), and set up your payment plan before the deadline on 24 August 2024. This will secure your place for September 2024. Apply for your transport now Visit our website and apply online www.hartpury.ac.uk/college-transport You’ll be directed to the Zeelo website to set up your account, browse our routes, find your nearest stop, check the cost, and pay your deposit. From July, you’ll be able to pay the remaining annual ticket amount or set up a payment plan.

Traveling to enrolment: You’ll need to travel to enrolment yourself. Traveling home: If you’ve been allocated a place, you’ll travel home from your enrolment on the Hartpury bus. Make sure you’ve got your QR code ticket ready via the Zeelo app for the bus driver to scan. If you have any questions, our Transport team will be on-hand and happy to help.

Moving into accommodation Sunday 1 September 2024 Residential Move-in Day If you’ve been allocated accommodation on campus, this is when you’ll arrive and move into your new home from home. Getting here If you’re travelling by car, please park in the main car park You’ll be directed to the car park nearest to your accommodation. Please then follow the signs to the College Learning Centre (CLC), where you’ll be greeted by the Accommodation and Residential Teams. You won’t be able to park directly outside your accommodation hall. We therefore recommend the use of folding camping trolleys* or similar to help you move your belongings from your designated car park to your accommodation hall. Livery If you’re bringing your horse, you’ll settle them into livery before you move into accommodation. Once your horse is settled, make your way to the College Learning Centre to arrive at your allocated time. If you have any difficulties with this, please contact the accommodation and livery team in advance. Our Livery team will be in touch with more details over the coming months. Your residential briefing Next, you’ll attend your Student Residential Briefing, led by your Residential Support Officer. At the same time, your parent/carer will attend an essential briefing on residential life, safeguarding, and their responsibilities as a parent/carer. This will be held by our Deputy Principal Resources, Head of Safeguarding, Wellbeing and Health, and Head of Residential Life and Residential Services.

It’s a great way to make friends and start to feel at home at Hartpury. Tuesday 3 - Friday 6 September 2024 Check pages 11-12 to find the enrolment date and time for your course. Once you’ve enrolled, you’ll be in college for the full day, as well as the rest of the week for your first academic sessions. Until then, you’ll continue to take part in activities and workshops with our Residential team and settle into your accommodation. Saturday 7 - Sunday 8 September 2024 Join more activities on Saturday day as a great way to meet people and get to know our campus. For a thrilling end to the week, why not spend the day at Thorpe Park? In August, we’ll send more details on these activities and how to book the Thorpe Park trip (150 spaces, circa £50 per student, which includes your entry ticket and coach travel to and from campus). In the evenings, there will be activities for you and your new friends to get involved in.

Your clothing and equipment

Your course includes practical elements to help you prepare for the future. As such, you’ll need to buy some specialist kit and/or equipment in order to complete them. These are additional to your course and include chainsaw maintenance and operation, all terrain vehicle (ATV), telescopic forklift, pesticides, and tractor driving. College inset days Inset days are additional days off for A-level, diploma, and Access to HE students. Check your inset dates in the term dates table on the previous page. You won’t be required in college on these dates, although tutors may require attendance to catch up on any outstanding work. If you’re an equine student with livery and the inset day falls on a Monday, you may be able to return with your horse on the Sunday. You’ll need to get permission from the Director of Equine.
