Your enrolment is a key part of joining Hartpury and it starts now. By completing these steps, you’ll have everything ready for when you get here. Getting ready for enrolment

Before you enrol Before you arrive for your enrolment, there are some important things you need to do. This will help us make your enrolment day as smooth as possible. We’ve included your next steps below, to guide you through the process. Step 1: Fill in your forms You must bring your completed forms with you to enrolment. 1. Visit www.hartpury.ac.uk/ comingtohartpury 2. Download and print your forms. 3. Fill in the paper copies and check them off on page 14. 4. Keep them somewhere safe. Step 2: Make your payments There are some fees to pay before you start, including the educational visits fee for all students. • Educational visits fee (£65) – Field trips, visits and external speakers are an important part of your student experience. This fee contributes to the cost of speakers, transport for off-site visits, and entry to shows, events, museums, competitions and many other attractions. If you’ve achieved better grades than expected and wish to be considered for a higher level course, please contact our Admissions team. Your application will be reviewed to consider whether this is possible. - Email admissions@hartpury.ac.uk - Call 01452 702244 Confirmation of your results We’ll receive confirmation of results from the awarding bodies shortly after enrolment. If you submit fraudulent results you’ll be withdrawn from your programme.
Step 3: Buy your kit You’ll need to buy some kit and/equipment to keep you safe as you complete the practical elements of your course. Turn to pages 17-20 for your kit list and details on how to place your order.
Step 4: Tell us your exam results
For UK students, GCSE results day is 25 August 2022. We wish you good luck. All your hard work this year will be worth it. If you have a conditional offer, you’ll need to let us know your results as soon as you get them. You can do this on our website. www.hartpury.ac.uk International students Please submit your grades and qualifications as soon as you get them using this form: www.hartpury.ac.uk/qualification- collection-form What we do with your results If you’ve achieved the grades that you need to meet your offer, it will be made unconditional and we’ll send you confirmation by email. If you haven’t achieved the results you need to meet your offer, try not to worry. We’ll review your application and may still be able to offer you a place on the course, or an alternative. The course tutor may wish to call you to discuss your options – so please make sure you have your phone with you. Once we’ve made a decision, we’ll send you confirmation by email.

Preparing your documents
When you come to your enrolment, there are some things you’ll need to bring with you. Please make sure you have the following items. 1. Your enrolment forms Please bring your completed forms to your enrolment. This will help us to make the process as smooth as possible. Visit www.hartpury.ac.uk/comingtohartpury to download and print your forms. 2. Proof of your exam results Bring a copy of your results transcript or certificates. It’s important you do this, even if your results have been sent to us previously. Please note, you won’t be able to enrol unless you have a copy of your qualifications with you. 3. Proof of ID Passport or driving licence (if you don’t have these, you can bring your birth certificate). International students If you’re an international student with a Student visa, we’ll need to see your passport and your Biometric Residence Permit (BRP) at enrolment, if you have collected this. If you requested for your BRP card be sent to Hartpury, it will be waiting for you to collect at enrolment. A copy of these documents will be taken and held with our International Manager as part of UK Visa and Immigration compliance. Visa support If you haven’t already started your visa application, it’s important you do this as soon as possible. Aspire learning support and additional needs Our Aspire team are here to support you during your time at Hartpury. If you have any Educational, Health and Care Plans, Educational Psychologist Reports or individual support plans, please ensure you provide copies of these with you. Additional exam arrangements If you’ve been granted extra time, a reader, scribe or other additional help during your school exams, you may want to be assessed for extra help while you’re here too. Visit the Learning Support desk during your enrolment and let our team know. You’ll need to bring your Form 8 (J8) from school, signed and dated. Please note, if you don’t bring your Form 8 we won’t be able to highlight your exam needs as a priority and
this may delay your application for any special arrangements.

What happens at your enrolment
Your parents/guardians will be invited to a residential life talk while you enrol. Find out more about the talk and timeslots on page 11. You’ll attend a session in the evening, where you’ll find out more about residential life and our new programme. Traveling to your enrolment You’ll need to make your own way to your enrolment. If you’ve been allocated a place on Hartpury transport (see pages 5 and 12) you’ll get everything you need at your enrolment, so you can get the bus home. Please be aware that buses run later during enrolment week, to

If there’s anything else you’d like to know, please get in touch with us using the contact details on the back page. Where to go Your enrolment will take place in the College Learning Centre (CLC) – your library and study space. When you arrive, follow signs from the car park to the CLC. There will be plenty of flags flying to show you where to go. Our students will also be on hand to help you find your way. What to do We’ll guide you through the process and make sure you’re ready to start your college life as part of our #HartpuryFamily. You’ll meet our Admissions, Finance, Transport, Accommodation, IT and Aspire learning support teams, as well as your Students’ Union and course tutors. After you’ve enrolled Once you’ve completed your enrolment, you’ll start your course and be in college for the full day. You’ll begin with your course with your induction session – where you’ll get your timetable and meet your classmates – which will be followed by your first lessons. Moving into accommodation If you’ve been allocated accommodation, you’ll meet our accommodation team and collect your keys as part of your enrolment (check your day and timeslot on the next page). If you’re under 18 years old and live in the UK, you’ll need to be accompanied by your parent/
guardian at your enrolment. International students
You’ll take part in all of the same enrolment activities as your course – check the table on pages 9-10 to find your date and time. We’re organising an International Welcome programme to help you settle into life in the UK and at Hartpury, and support you to make friends and feel at home. Information for parents Non-residential students: If your student isn’t moving into accommodation, you’ll be at enrolment for approximately 1.5 hours. If they’ve been allocated a place on our transport, they will travel home on the Hartpury bus. If you’ve not applied for transport, you’ll need to be collected at 5pm. Residential students: If your student is moving into accommodation, you’ll complete the 1.5 hour enrolment and also attend a residential talk – you can choose to attend this before or after your enrolment slot. Check page 11 for talk timeslots to select yours.

Residential parent/carer talks
If you’re moving into accommodation and are under 18 years old, your parent/ carer will be required to attend a residential parent/carer talk on your enrolment day. Location: Your talk will take place in Hartpury House; A6 lecture theatre. This is near to our main reception. This essential talk will cover key information about residential life, safeguarding and parent/carer responsibilities. Students don’t need to attend as they’ll have their own residential talk in the evening. Check the residential parent/carer talk times for your enrolment day below. You can choose to attend whichever timeslot is best for you. If your students’ enrolment session is later in the day (see pages 9-10), you could come to an earlier residential talk so you don’t feel rushed during the course enrolment process.

Getting to college
If you live near Hartpury and are able to go home each day, we run bus services across Gloucestershire, Herefordshire, Worcestershire, Warwickshire and Wiltshire. If you want to travel on Hartpury transport, it’s important that you apply as soon as possible before your enrolment, pay your £100 deposit (refunded if you don’t receive the results for your course) and set up your payment plan. This will ensure that you have a space in September 2022.

Traveling to enrolment: Please note, you’ll need to travel to enrolment yourself.
Traveling home: If you’ve been allocated a place, paid your deposit and set up your payment plan, you’ll have a bus induction as part of your enrolment. We’ll give you your bus pass and timetable, and show you where to get the bus home. If you’re traveling by coach you’ll get a bus pass, whereas our minibuses run a daily register.

If you’re undertaking a residential work placement, we’ve also included a checklist for your parent/carer to review when assessing the accommodation. College inset days Inset days are additional days off for A-level, diploma and Access to HE students. As such, you won’t be required in college on the following dates – although tutors may require attendance to catch up on any outstanding work.

If you’re an equine student with livery and the inset day falls on a Monday, you may be able to return with your horse on the Sunday. You’ll need to get permission from the Director of Equine.

Your clothing and equipment
Your course includes practical elements to help you prepare for the future. As such, you’ll need to buy some specialist kit and/or equipment in order to complete them. All students Check the red box for things all students need, such as pens, notepads and a laptop – make sure you check it meets the minimum specification guidance. Don’t forget, we offer bursaries to support UK students with these costs. For your course You’ ll also need some more specialist things for your subject. Find your course from the list over the next few pages for details. Buying your kit We work with trusted brands to produce high-quality clothing. You can buy the relevant kit for your course or sport online now – to make sure it arrives in plenty of time for enrolment – or try samples at your enrolment before ordering online. Details about ordering your kit online can be found on page 20.
